PETBRIDGE PRIVACY POLICY
This Privacy Policy explains how personal data is collected, used, stored, shared, and protected in connection with participation in PetBridge, hereinafter “PetBridge” or the “Exhibition”, the professional pet care industry exhibition jointly organised by BolognaFiere India Pvt. Ltd. and Inspira Bridge Events Private Limited (“the Organisers”). This Policy applies to all individuals interacting with PetBridge through its official website, online registration platforms, mobile applications, email communications, and all physical, on-ground procedures relating to exhibition management, visitor access, exhibitor participation, and event operations and to all individuals interacting with PetBridge as actual or potential exhibitors, buyers, visitors, speakers, moderators, sponsors, guests, contractors, service providers, consultants, temporary staff, journalists, bloggers and influencers of the Exhibition.
By accessing the PetBridge website, submitting registration details, interacting with the Organisers in relation to the provision of PetBridge’s products or event services, or attending the Exhibition, individuals acknowledge that their personal data will be processed in accordance with this Privacy Policy and the applicable provisions of Indian law. This Privacy Policy forms a consistent and integral part of the contractual and administrative framework governing participation in the Exhibition.
- Scope
This Privacy Policy applies to all forms of personal data processed for the planning, promotion, administration, organisation, hosting, access control, operations, and post-event activities associated with PetBridge. The processing covers data collected online as well as on printed forms as well as physically at the venue. The Policy applies to exhibitors, visitors, buyers, guests, speakers, moderators, sponsors, journalists, bloggers, influencers, guests, contractors, service providers, temporary staff, consultants and any individual whose personal data is processed in the course of and/or in connection with the Exhibition.
- Joint Data Responsibility
The Organisers jointly determine the essential purposes and means of processing personal data for the Exhibition. In doing so, both act as joint Data Fiduciaries under the Digital Personal Data Protection Act, 2023 (“DPDP Act”). Each Organiser is responsible for ensuring that data is processed lawfully, fairly, securely, and only for legitimate purposes connected to the Exhibition. Where data processing is conducted on behalf of either Organiser, such activity is undertaken by authorised Data Processors acting strictly under documented instructions and with appropriate confidentiality and security obligations.
- Legal Framework
The processing of personal data under this Policy is carried out in accordance with the DPDP Act and other applicable laws in India, including the Information Technology Act, 2000, (“IT Act”) and any notifications or directives issued under those laws. Where the data of individuals located in the European Union or the United Kingdom is processed in the context of the Exhibition, additional safeguards may apply to meet the corresponding data protection requirements of those jurisdictions.
- Definitions
For the purposes of this policy, the below listed terms shall have the following meanings:
- 4.1 “Personal Data” refers to any information relating to an identifiable individual.
- 4.2 “Data Principal” refers to the individual to whom the personal data relates.
- 4.3 “Processing” includes the collection, storage, use, transfer, disclosure, connection, comparison, or deletion of personal data.
- 4.4 “Data Fiduciary” refers to the person who determines the purpose and means of processing, which in the context of PetBridge refers to both Organisers jointly.
- 4.5 “Data Processor” refers to any third party engaged to process personal data on behalf of the Organisers under a contractual obligation of confidentiality and limited use.
- Purpose Of Data Processing
Personal data is collected and processed solely for purposes that are necessary to organise and operate PetBridge. These purposes include but shall not be limited to:
- registering exhibitors, buyers, and visitors on PetBridge website;
- issuing passes and entrance tickets;
- maintaining security and entry records;
- coordinating meeting programs, seminars, workshops, and exhibition schedules;
- communicating operational information;
- listing exhibitors and products in catalogues and other promotional material relating to PetBridge;
- supporting networking and business engagement, including but not limited to matchmaking activities and programs for buyers’ hospitality at PetBridge;
- ensuring compliance with venue and safety requirements; and
- conducting post-event follow-up, evaluation, and reporting.
Where data is processed to provide marketing, promotional updates, or information about future events, individuals retain the right to opt out at any time.
- Types Of Data Collected And Manner Of Collection
Personal data processed in connection with PetBridge may be collected directly from individuals during registration, account creation, pass issuance, or when corresponding with the Organisers. It may also be collected when individuals interact, including but not limited to official website, event application, lead-retrieval scanners, access gates, or at help desks within the venue where PetBridge is located. In addition, certain operational information such as CCTV footage and access timestamps may be generated automatically for venue safety and regulatory compliance.
The categories of personal data that may be collected include basic identity and contact information such as name, designation, professional position, organisation name, email address, mobile number, business profile details, and city or state. Where necessary for exhibitor or sponsorship participation, invoicing, or contract performance, the Organisers may also collect bank data (such as payments, bank account numbers, credit card details), company GST details or billing addresses. For operational and security purposes, the Organisers may collect and maintain pass identification numbers, QR codes, entry and exit time logs, CCTV footage, and incident reports maintained by the venue as part of on-site safety obligations.
When individuals interact with the PetBridge website or mobile application, technical and usage-related information may be collected such as IP address, device and browser type, operating system version, app interactions, and navigation behaviour. Cookies, analytics tools, and similar technologies may be used for ensuring website functionality, improving user experience, and evaluating digital performance. Only cookies that are strictly necessary for security and session functionality will operate by default. Analytics or marketing-related cookies will operate only where consent has been expressly provided and can be withdrawn at any time.
Exhibitor, buyer, and visitor contact details will not be published in any printed or digital directory, digital exhibitor listing, matchmaking tool, or exhibitor-to-visitor networking application unless the individual has expressly opted in for such disclosure at the time of registration or through subsequent account or preference settings. Where such consent is provided, the individual may withdraw that consent at any stage, and upon withdrawal the Organisers will promptly remove the contact details from any directory or networking tool to the extent operationally reasonable.
Any personal data provided or collected in the course of PetBridge will be used only for the legitimate and clearly communicated purposes related to participation in the Exhibition and/or the provision of products and services connected to the Exhibition and will not be collected or retained in excess of what is necessary for those purposes.
No biometric identifiers, Aadhaar numbers, passwords, financial card numbers, or similarly sensitive data are collected or stored by the Organisers at any stage. Nevertheless, during the Exhibition, video footage (including voice registration) and/or photographs are taken by the Organisers and/or by photographers and/or video makers authorized by the Organizers. Such material will be used for publication on PetBridge website and social media profiles (i.e. Instagram, Facebook, LinkedIn, etc.) and on brochures, catalogues, flyers, and other printed material that promote the Exhibition and for the realization of promotional videos of PetBridge. In the event that, however, the aforementioned images portray you in a recognizable way, the Organisers may publish such images upon your specific consent to be released on site to our official photographer and/or video maker. By giving us your consent, you expressly waive any financial compensation for using your image. You can request at any time to obscure the face portrayed in the images published online, without prejudice to the lawfulness of the processing realized up to the date of obscuration.
- Purpose Of Use and Marketing Preferences
Personal data collected in relation to PetBridge is used only for purposes that are necessary to organise, administer, promote, and operate the Exhibition. These purposes include enabling registration and participation, issuing access credentials, issuing entrance tickets and pass, coordinating exhibitor, buyer, and visitor services, supporting on-site logistics, ensuring venue and safety compliance, and facilitating business interactions between participants where such interaction has been expressly invited or consented to.
The Organisers may contact participants to provide essential information relating to their involvement in the Exhibition, including confirmations, operational instructions, session and seminars schedules, venue advisories, security requirements, updates regarding participation, and post-event follow-up relevant to attendance. These communications are considered necessary for participation in PetBridge and do not require separate consent.
In addition, the Organisers may from time to time send you promotional and commercial communications about upcoming editions of PetBridge, the products and services pertaining to or connected with the Exhibition, products and services offered by the commercial partners or sponsors of the Exhibition and may from time to time send you marketing communications to perform statistic studies and researches, as well as market researches . Individuals who do not wish to receive such promotional or marketing messages may withdraw from such communications at any time by selecting the unsubscribe option included in such communications or by contacting the Organisers at the addresses indicated in the present Policy. Withdrawing from promotional or marketing communications will not affect the receipt of essential operational or legally required communications related to participation in the Exhibition.
The Organisers do not automatically share exhibitor, buyer, or visitor contact details for networking purposes. Any exchange of business details, whether electronic or physical, occurs only where the individual has voluntarily provided their information directly to another participant or has expressly opted in to being listed in exhibitor directories, networking platforms, digital catalogues, or any other tool intended to facilitate commercial connection. Individuals who opt in may withdraw their consent at any time, after which the Organisers will remove their contact information from such directories to the extent that removal is operationally feasible.
The Organisers do not sell, rent, or commercially trade personal data to any third party. Personal data is processed solely for legitimate and disclosed business purposes associated with the Exhibition.
- Data Sharing, Security, Retention And Deletion
Personal data collected for PetBridge is shared only where necessary for purposes connected to the organisation and operation of the Exhibition. The Organisers may provide access to personal data to vendors, contractors, agents, consultants and service providers engaged to perform functions such as but not limited to registration management, pass and entrance tickets issuance, stand building, provision of marketing services, website hosting, email and SMS communication services, operational support, logistics, customer service assistance, and IT security. These service providers act strictly under contractual obligations of confidentiality and are permitted to process personal data solely for the purpose of delivering the services requested by the Organisers. They are not permitted to use or disclose personal data for any independent commercial purposes.
The Exhibition venue may operate CCTV cameras and access control systems as part of mandatory safety and security measures. Such systems may record visual footage, movement within designated public areas of the venue, and entry and exit events. These recordings are maintained in accordance with venue policies and applicable legal standards and may be shared with law enforcement or regulatory authorities when required by law, or when doing so is necessary to protect the safety of participants or the public.
The Organisers adopt security safeguards that are reasonable and appropriate to the sensitivity and volume of personal data processed. These measures include controlled access to personal data on a need-to-know basis, security protections within digital systems, secure handling procedures for event records, and contractual and technical protections applied when third parties are engaged. Measures are reviewed periodically to ensure ongoing adequacy.
Personal data is retained only for as long as it is necessary to fulfil the operational, legal, and regulatory purposes for which it was collected. Once those purposes have been met, or if the individual withdraws consent in relation to data processed solely on the basis of consent, the personal data is either securely deleted or irreversibly anonymised in accordance with lawful retention and archival requirements. Backup versions of data are also managed in accordance with these retention principles and are deleted in a scheduled manner that aligns with system maintenance cycles.
The Organisers do not retain personal data for speculative future use and do not maintain data beyond what is reasonably related to participation in PetBridge, operational requirements, compliance obligations, and legitimate business records retention. Records relating to legal compliance, taxation, invoicing, or disputes may be retained for the period mandated by applicable Indian law.
- Rights Of Individuals, Consent Withdrawal, Children’s Data
Individuals whose personal data is processed in connection with PetBridge have the right to request access to the personal data that concerns them, to request correction of any information that is inaccurate or incomplete, to withdraw consent where processing is based on consent, and to request deletion of personal data where continued processing is no longer required for the purposes for which it was collected.. Requests of this nature shall be in accordance with and will be addressed in accordance with the timeframes and procedural requirements established under the Digital Personal Data Protection Act, 2023.
Consent may be withdrawn at any time by contacting the Organisers at the addresses indicated in this Policy. Withdrawal of consent does not affect the lawfulness of any processing that occurred prior to such withdrawal.
PetBridge is intended for professional participation. Where personal data relates to an individual under the age of eighteen, such data will be processed only where it has been provided with the knowledge and authorisation of a parent or legal guardian. Personal data relating to minors will not be included in any optional directories, promotional materials, or business networking activities.
Any individual wishing to raise a concern, request access or correction, withdraw consent, or exercise any right available under applicable law may contact the Organisers in accordance with provisions of the DPDP Act, 2023.. The Organisers are responsible for acknowledging and addressing such requests in accordance with the timelines prescribed under applicable law. The contact details of the Organisers are indicated in part 11 of this Policy.
- Amendments and Contact Information
This Privacy Policy may be revised from time to time to reflect changes in legal requirements, operational practices, technology, or the nature of services provided in connection with PetBridge. Any updated version of this Policy will be published on the official PetBridge website together with an indication of the date on which the revision became effective. Where a change materially affects the manner in which personal data is processed, reasonable steps will be taken to provide notice through the website or through direct communication where appropriate. Continued interaction with or participation in PetBridge following the publication of an updated Privacy Policy will constitute acknowledgment of the revised terms.
